For real estate brokerages

Your agents close deals. Your office closes the paperwork.

Every deal brings a file to check, a commission to calculate, deposits and conditions to track, and agents to chase for the document that's still missing. We build the systems that do the checking and the chasing, so your admin team reviews instead of re-keys.

01 What we would build

What we'd automate in a brokerage back office. The admin work between the offer and the cheque.

/01

Deal-file completeness checks

Every submitted deal checked against your required-document list — agreements, amendments, ID verification and receipt-of-funds records. Gaps go straight back to the agent with exactly what's missing.

/02

Commission & trade records

Sale price, splits, referral fees, and caps calculated from each agent's plan and drafted into the trade record, ready for your admin to approve.

/03

Deposits & condition dates

Deposit due dates, condition deadlines, and closings tracked for every deal, with reminders to the agent and your office — and a flag the moment a deposit is late.

/04

Listing intake

New listing details captured once and carried into the file, the listing paperwork, and the marketing request, instead of being typed three times.

/05

Agent onboarding & offboarding

Checklists, accounts, documents, and plan setup handled in order, so a new agent is productive in days and a departing one leaves nothing loose.

/06

Broker dashboard

A weekly summary in your inbox: firm deals, closings ahead, commissions outstanding, and every file with an open gap.

02 What it looks like

One deal submission, start to finish.

01

An agent submits a deal

The agreement, amendments, and ID records arrive by upload or email.

02

The file is checked

Every document is read and checked against your required list. Dates, deposit amounts, and parties are pulled into the file.

03

Gaps go back to the agent

The missing receipt-of-funds record and an unsigned amendment are sent back to the agent automatically, with a follow-up if they're still missing in two days.

04

Your office approves

The trade record and commission are drafted from the agent's plan. Your admin reviews a complete file and approves it.

✓

Your judgment stays in the loop.

Anything that touches a client or your money waits for a person to approve it. The system handles the execution. You keep the call.

03 Proof from related work

Reading documents, checking them against what should be there, and flagging only what needs a person is the core of the work we're doing now — AR reconciliation for an Ontario relocation management company, and document and financial automation running daily in a multi-location service business.

Behind it: twenty-five years operating real businesses — retail, construction, solar, investment funds, engineering. We've chased the receivables and signed the paycheques ourselves.

Common questions

What brokers and brokerage owners usually ask first.

The system surfaces what's missing and keeps a record of every check. Your broker of record still reviews and signs off. Automation supports your compliance process; it doesn't take over your responsibility for it.
No. We work with what you run and fill the gaps around it. Integration depth varies by platform, so we confirm what's possible during the audit, before you commit to a build.
We don't move money. We track deposits and flag exceptions so your trust reconciliation starts from a clean list, and your existing controls stay in place.
